A Small Favour That Saves Everyone Time: Please Reference Your Payments

This update is less about technology and more about a simple process that makes life easier for everyone.

When a payment arrives in our bank account (which we deeply appreciate!) without a reference, we need to work backwards to work out who made the payment and which invoice it relates to. We can usually figure it out, but it takes time and occasionally leaves a payment sitting unallocated while we investigate.

The result can be unnecessary reminder emails for invoices that have already been paid, which is frustrating for both you and us.

The Two Most Common Problems

The first is payments with no reference at all. Often the bank account name does not match the business name we know you by, making it difficult to identify the payment.

The second is combined payments covering several invoices, with no indication of which invoices are included in the total amount paid.

Even a partial reference makes a significant difference and helps us allocate payments much faster.

What Helps Most

When making a payment, please include the invoice number in the payment reference field whenever possible.

If you are paying multiple invoices in one transaction, you can:

  • Include the invoice numbers in the reference or particulars fields.
  • Send a remittance advice to accounts@anvil.net.nz so we can match the payment straight away.

If you are paying the balance shown on your statement rather than individual invoices, simply note this in the payment reference.

Statements Make It Easier Too

We send statements shortly after the end of each month. Usually a couple of days.

Your statement shows all outstanding invoices and the total amount owing, making it the easiest way to confirm what is due before making a payment and to identify anything that looks unfamiliar.
